The Problem
Far too much time is spent on generating documents - and the more complex the layout, the more
complex the process. For this reason, a considerable number of documents is generated at intervals
which are not necessarily logical. As a consequence, the topicality of those documents frequently
fails to fulfil the requirements of customers, partners or the sales department. In other words,
outdated product information and price lists remain in circulation, while new products are
introduced to the market with long delays.
The solution
DocScape generates documents as and when required, be it a business card for a new staff member,
a datasheet for a new product version, or a personalized form - without having to enter into a
time-consuming coordination process with the layout department or external service providers. No
exchange of texts, images or graphics by e-mail, no repated proofreading. All it takes is the push
of a button when needed.
Publishing with DocScape is surprisingly simple:
- Select data.
- Select a prepared layout.
- Press the button - and the document is generated instantly from the available data.
This way, DocScape is capable of generating documents from up-to-date data. Based on approval
rules at database level, editors can view datasets which are currently processed in the context of
a specific layout at all times, while other users can only access contents which have already been
approved - from the moment of their approval.
Due to the controlled workflow, it is not necessary to plan documents long before their release
and generate them in approval processes with an agency - even in cases where only a few copies are
required -, and the storage costs for documents in several versions and languages are reduced
significantly.
DocScape has solved this problem through
printing on demand: each brochure is defined as a layout template and data selection, but
DocScape will not refer to the data before they are actually printed. The document is printed
digitally in a short run - just in time. So it is no longer necessary to limit the number of
printed versions by printing costs: the contents are available at all times, and changes to the
corporate design will immediately be incorporated into all brochures which have already been
defined.
