Data integrity - amendments exclusively in leading systems
The problem

Today’s typical publication workflow is structured as follows:
- Data are managed in a multitude of systems.
- These data are painstakingly consolidated before a document is generated:
- The data are compiled in a media database via a number of interfaces; or
- the data are transferred semi-automatically to Quark, Indesign or another DTP program; or
- the data are transferred manually to Quark, Indesign or another DTP program.
- Mistakes in the data are discovered and have to be rectified just before going to print.
- Due to tight deadline restrictions, the required modifications are made directly in the
document or in one of the intermediate systems.
This procedure has two central and potentially extremely costly consequences:
- Setting up and maintaining an intermediate system is a very cost-intensive and time-consuming
process. In addition, data redundancies can lead to potential problems when adjustments are
required.
- In stress situations, last-minute amendments just before going to press are often only made in
the document or one of the intermediate systems, but not in the leading systems, so the same
problems will occur again later.
The solution
DocScape generates documents directly from the data in the leading systems, requiring no
intermediate databases. In addition, DocScape allows a definition of intelligent rules, so
publication-relevant additional information does
not need to be painstakingly incorporated into the leading systems. Instead, all you have
to do is define in publication-specific rules in which way certain data (even from different
systems) are to be combined with each other to generate complex data and calculate new information
structures, which are mapped only indirectly in the master data. This makes the generation of
product diagrams etc. child’s play.
At the same time, document generation with DocScape is so fast that even highly complex
documents can be generated from scratch minutes before going to press. An impressive reference for
this approach is the
ERCO product catalog . DocScape allows you to make modifications
always
in the
leading systems, constantly and permanently optimizing the quality of your data
and minimizing sources of error. The consequence is an immediate reduction of your process costs.
In the medium and long term, you will also benefit from optimized process and data quality.
The concrete benefits
- No extra costs for the set-up of additional media databases
- No redundant data management
- Consistent management of data in the leading systems
- Mapping of publication-relevant rules in the publication system, and not in the master
data
